You can store email messages in an Archive mailbox—for example, to quickly find them later when you’re ready to take action.
Although you can move individual messages from Outlook for Mac to your archive mailbox one by one (you can't move or copy multiple items at once), the more efficient way to make sure your messages get archived is to use Outlook Web App archive and retention policies. Archive and retention policies are set by your IT or Microsoft 365 administrator.
How to archive messages for your other email accounts For the other email accounts that you set up, you can create folders on Zimbra Desktop that do not sync back to the server. When a message is moved to a folder that does not sync, the next time Zimbra Desktop syncs to your account, the messages are removed from the server. You can archive messages in any of the email accounts that you've connected to Outlook 2016 for Mac. These include Exchange (version 2016 and later), Microsoft 365, Outlook.com, Hotmail, iCloud, Google, and Yahoo! Choose one or more messages in your folder to archive. On the ribbon, choose Archive. The archive folder for Gmail is called All Mail. Choose another folder. Select any of your existing folders for the archive. Outlook For Mac Archive Mailbox
In the Mail app on your Mac, select one or more messages.
If you select a conversation, any message in the conversation that’s in the current mailbox—for example, the Inbox—will be archived; related messages that are in other mailboxes will not be archived.
Click the Archive button in the Mail toolbar (or use the Touch Bar).
If you set the “Move discarded messages” option to Archive in Viewing preferences in Mail, you can archive messages from Mail notifications. Just move the pointer over the Mail notification, then click Archive.
Mail creates an Archive mailbox in the Mail sidebar for each account whose messages you’re archiving, and moves the messages there. To view them, click the mailbox. Archived messages remain there until you delete or move them.
